Privacy policy for merchant submissions
Effective November 2025
What we collect
When you upload a statement or submit the form, we collect the PDF, basic contact details (name, email, phone, business name), plus the IP address and browser metadata used for rate limiting and security.
How information is used
- Parse statements through ProposalPilot’s analysis system to generate the fee summary.
- Communicate with you about the analysis, follow-up questions, or next steps.
- Alert internal staff when a submission needs manual review or is ready to share.
Retention
Intake submissions are retained for up to 12 months so we can answer follow-up questions and compare future statements if you re-upload. You can request deletion at any time by emailing support@proposalpilot.com.
Security practices
Files are encrypted in transit and upon storing. Captcha verification and rate limiting are enforced to reduce spam. Suspicious submissions may be blocked automatically.
